Guest transport is one of the most under-planned parts of a Rajasthan destination wedding, and one of the first things guests remember if it goes wrong. Here is how to plan it properly if you are using Force Urbania vehicles for your event.
Start with vehicle count, not vehicle type
The most common planning mistake is booking vehicles based on a rough guest estimate rather than actual hotel-by-hotel headcounts. As a rule of thumb, one 17-seater Urbania comfortably handles about 15 guests with luggage. For a 150-guest wedding spread across 3-4 hotels, that typically works out to 8-10 vehicles once you account for staggered arrival times rather than everyone landing at once.
Ask your planner (or us, directly) for a guest manifest broken down by hotel and arrival window before finalising the vehicle count. This single step prevents most day-of scheduling issues.
Map the multi-day schedule up front
Most Rajasthan destination weddings run pre-wedding functions, a sangeet, the wedding day itself, and a departure day, each with different transport needs:
- Arrival day: airport and station pickups, staggered across flight and train arrival windows
- Sangeet and mehendi: single-venue shuttle, usually evening timing
- Wedding day: baraat route plus guest transport to the main venue
- Departure day: the reverse of arrival day, often more time-compressed
Booking all of this as one coordinated package, rather than day by day, is what prevents vehicles and drivers from being double-booked across events.
Baraat and doli routes need separate planning
The baraat procession and the doli send-off route are typically short, ceremonial drives rather than point-to-point transport, and the vehicle used often benefits from being decorated. If you want a decorated vehicle for these routes, request it at the time of booking. Vehicle styling takes preparation time and cannot be arranged same-day.
Common mistakes to avoid
- Not accounting for delayed flights. Build buffer time into pickup schedules, or work with a provider that tracks flight status.
- Underestimating luggage. Wedding guests often travel heavier than average tourists, so factor this into your seats-per-vehicle assumption.
- Splitting vehicles across multiple vendors. A single coordinator managing all vehicles against one master schedule avoids the communication gaps that leave guests waiting.
- Booking too late. Wedding season (October to February) is also peak season for group vehicle demand across Udaipur, Jaipur and Jodhpur. Lock in vehicles at least 3-4 weeks ahead.
